1. Who we are and whose data this is

Our customers are pipeline operators and the companies that work for them. Most personal information in the Services is about a customer’s own employees and contractor workers, entered by the customer to run its pipeline safety and compliance program. For that information, the customer decides what is collected and why, and X3 processes it only on the customer’s instructions, as its service provider. For account, billing and website information, X3 decides how it is used, as described here.

2. Information we collect

Account and billing. Your name, business email, company, phone, address, time zone, type of pipeline, regulated miles, and whether you opted in to text reminders. Payments are handled by Stripe; we receive confirmation of payment and the last four digits and expiry of a card, but we never see or store full card numbers.

Information a customer enters (Customer Data). Pipeline systems, segments, stations and assets; the names, roles, employer, contact details, shifts and hire dates of employees and contractor workers; and pipeline safety records such as qualifications and evaluations, inspections, patrols and surveys, readings, anomalies and repairs, locate tickets, emergency drills and events, procedures, reports in preparation and audit evidence. Customers should not enter information the Services do not ask for, such as medical records or government ID numbers.

Ask X3 questions. The text of questions you type into Ask X3 and the answers returned.

Technical information. Server logs (such as IP address, browser type, pages requested and times), and a sign-in cookie that keeps you signed in.

3. How we use information

  • To provide the Services you subscribe to, and to show your data back to you and the people you authorize.
  • To secure the Services, prevent abuse and fix problems.
  • To bill you and run your account, and to send messages about it, such as password resets and billing notices.
  • To answer your support questions.
  • To meet legal obligations and enforce our Terms.

We do not sell personal information, share it for cross-context behavioral advertising, or use Customer Data to train artificial-intelligence models.

4. AI features (Ask X3)

Ask X3 sends the question you type to a third-party AI provider to produce an answer. Please do not put names or other personal details into a question. The records you keep in your dashboards are not sent to the AI provider unless you type them into a question. AI answers may be wrong; always verify them against the regulation.

5. Text message reminders

If you opt in, we use your phone number only to send the reminders you asked for. Message frequency varies and message and data rates may apply. Reply STOP to stop, or HELP for help, or turn reminders off in Profile & Password. We do not share your phone number or opt-in consent with third parties for their marketing.

6. Who we share it with

We share personal information only with service providers who process it for us under contract and only to run the Services:

  • Cloudflare for hosting, database storage and network security;
  • Stripe for payments and the billing portal;
  • an email delivery provider for account messages such as password resets;
  • an SMS provider for text reminders, only if you opt in;
  • the AI provider behind Ask X3, for the questions you type.

We also disclose information when the law requires it (for example, a valid subpoena or court order), to protect the rights and safety of X3, our customers or others, or as part of a merger or sale of our business, in which case this Policy continues to apply. We do not give your data to PHMSA or any state agency on our own initiative; reports and filings are made by you.

7. Where data is stored

The Services are intended for operators in the United States. Customer Data is stored on Cloudflare infrastructure in the United States. Some service providers may process limited information elsewhere under their own safeguards.

8. Security

Data is encrypted in transit. Passwords are stored only as salted hashes, and sign-in sessions are stored only as hashes. Access to customer data within X3 is limited to what is needed to run and support the Services. No system is perfectly secure, and we cannot guarantee security, but if a breach affects your data we will tell you as the law requires.

9. Keeping and deleting data

We keep Customer Data while your account is open. You can ask us to delete your account and its data at any time by writing to [email protected]. After an account is closed, you can ask for an export for 30 days; we then delete Customer Data from our active systems unless the law requires us to keep it, and backup copies are overwritten in the normal backup cycle. We keep billing records for as long as tax and accounting law requires.

Pipeline operators have their own record-keeping duties under 49 CFR Parts 191, 192, 195 and other parts, some lasting the life of the pipeline. Keeping those records for the required time is the operator’s responsibility, so export what you must keep before closing an account.

10. Your choices and rights

You can see and update your account details and password in your account at any time. Depending on where you live, you may have the right to ask for access to, correction of, deletion of, or a copy of your personal information, and to not be treated differently for asking. Write to us at the address below; we will verify the request and answer within the time the law allows.

Employees and contractor workers whose information was entered by a pipeline operator should send requests to that operator, who controls the information. We will help our customers respond.

11. Cookies

We use a sign-in cookie to keep you signed in, and the browser’s local storage for small conveniences such as remembering a filter. We do not use advertising cookies or sell browsing data.

12. Children

The Services are for business use only. They are not directed to children, and children may not use them. We do not knowingly collect personal information from anyone under 16. If you think we have, tell us and we will delete it.

13. Changes to this Policy

We may update this Policy. When we do, we will post the new version here with a new effective date. If a change is material, we will tell you through the Services and ask you to accept the new version when you next sign in.
